The Workday HCM System Administrator's role is to provide primary administration and support for the Workday HCM system. The role will report into the Business Applications Manager and will be part of the Business Applications Support Team and serves as the subject matter expert for the assigned system and processes inside the application to ensure it remains current, and serves the needs of business operations and end users.

PRIMARY DUTIES AND RESPONSIBILITIES

1 System Administration

* Manage tenants for HCM (production, sandbox, preview, implementation)
* Maintain and develop Workday security configuration including defining and documenting user roles to meet the needs of the business
* Act as a peer reviewer to users in administrative roles to ensure system integrity and adherence to the governance processes
* Support the organisation's commitment to protect the integrity and confidentiality of systems and data
* Analyse existing processes to identify inefficiency and opportunities for improvement
* Collaborate with Finance to share system administration responsibilities of entire Workday platform
* Prepare for and support twice-annual upgrades and scheduled HCM processes
* Ensure successful installation and validation of Workday upgrades and patches
* Configure Workday to ensure appropriate workflows (via Business Process) are built and tested, and integrations run on defined schedules
* Test and implement integrations
* Maintain relationship with Workday/Appirio to resolve application issues and ensure needs of end-users for new functionality are considered in future releases
* Provide escalated troubleshooting and root cause analysis for system, data, interface and reporting issues. Manage interactions with Workday for escalated problem resolution (as named support contact)
* Provide second tier support to end-users, application and performance monitoring, downtime procedures
* Analyse incidents to identify root cause. Work closely with Appirio/Workday product support team to implement solutions
* Diagnose and resolve issues (end-user, business process, security, integration), and work with Appirio/Workday support as needed
* Assist in developing and implementing a change control process.

1 Project Support

* Where required, act as technical lead on new system deployments or major system changes
* Support projects to build new functionality, workflows, processes and/or reporting in the application, including requirement gathering, configuration testing, job aids and training
* As part of a collaborative team, lead the ongoing design, configuration and reporting for Workday HCM, Absence, Performance Management, and other Workday modules
* Collaborate with Business Applications Support Team to prepare for release management, change management and end-user communication
* Proactively monitor new features released by Workday and advocate for appropriate adoption plans

1 Reporting and Analytics

* Collaborate with functional and technical system stakeholders to streamline and enhance reporting processes, and promote user adoption
* Recommend and implement policies on reporting standards and offer technical solutions to gain process efficiency and improve data integrity
* Partner with internal and external customers to elicit requirements, design, build, test and deploy reports and dashboards
* Work with stakeholders to establish key metrics, KPI's and SLAs that are measurable and sustainable (turnover, vacancy, headcount, etc)
* Maintain and develop reports and dashboards by using advanced, matrix and composite reporting
* Regular reporting of usage metrics (monthly/quarterly) in line with organisational goals.

1 Communication

* Maintain application roadmap for work with manager(s) and provide timely and accurate status reporting
* Collaborate with other members of team and actively share knowledge to develop in-house expertise in Workday
* Participate actively in the Workday Community, propose and advocate for improvements to the Workday solution, and build a network of peers to best-practice-share with end-users

SKILL REQUIREMENTS

* Required - Expertise in Workday platform including: HCM, Absence, Performance Management and other Workday modules
* Required - Expert knowledge of Workday including audits, access, security, business processes, positions, hierarchies, supervisory orgs, workflow development
* Required - Strong working knowledge of Workday functionality, configuration and reporting
* Required - Expert level Excel skills with strong proficiency in MS Office
* Required - Proven ability to work creatively and analytically in a fast-paced environment
* Required - Ability to understand and capture business functional and technical requirements
* Required - Excellent project management, communication and organisational skills
* Required - Must be a team player and have the ability to work independently with minimal supervision
* Required - Professionalism in working directly with the business and striving to deliver excellent customer experience
* Required - Highly analytical with natural curiosity about data with the ability to manage high-priority assignments simultaneously while meeting deadlines and quality standards
